Introduction
When you become a student, employee, or other person with a relationship with the university, you are given accounts that allow you to do your job or complete coursework. In general, these accounts are assigned when you establish your relationship with the university, and they are disabled or deleted when you leave. This article provides an overview of accounts that you will receive, the timing of account creation and deletion, and a description of the uses for those accounts.
Account Creation and Deletion
Students
Students are given the following accounts and access:
- Microsoft Email
- Active Directory
- Campus Portal
- Google Apps
- Canvas
- Salesforce Community
- Duo
- Eduroam Wireless
- Student Center (PeopleSoft)
Some accounts for students are created as soon as an application is submitted, and the rest are created when a student is activated for the term. When a student leaves, either by graduation or for other reasons, most accounts will continue to be available for 2 years. Most accounts will be disabled at that point, and most accounts will be completely deleted another year after that.
Employees
Faculty, staff, and auxiliary employees are given the following accounts and access:
- Microsoft Email
- Active Directory
- Campus Portal
- Google Apps
- Canvas
- Box
- Duo
- Eduroam Wireless
- PeopleSoft
Other accounts, such as Salesforce, are available by request if your job requires them.
Accounts for employees are created on or before your start date as required for onboarding, and they are disabled immediately when you leave the university. Accounts are deleted approximately one year after separation.
Account Information
Microsoft Email
Your Microsoft email account is the official means of communication from the university. It may also be called Office 365, O365, or Exchange.
Active Directory
Active Directory allows you to log in to Windows computers on campus.
Campus Portal
The portal provides a customized view to information and links to campus resources.
Google Apps
Google Apps is used by faculty and students for corusework. It provides document storage; access to spreadsheets, documents, and slideshows; and calendars and sites.
Canvas
Canvas is the campus learning management system (LMS), which is used by many faculty to deliver instructional content and materials to students, and is used by students to complete and submit coursework.
Salesforce Community
Salesforce Community allows students to use the appointment calendar to register for advising and campus events.
Duo
Duo is a multi-factor authentication (MFA) service that protects apps, users, and data by requiring an additional piece of information besides username and password.
Eduroam Wireless
Eduroam provides wireless network access for users who are on campus.
Student Center/Faculty Center/PeopleSoft
PeopleSoft is the university administrative software system. It allows students to register for classes, view and manage financial aid. It allows employees to manage budgets, financial transactions, employee records, and payroll.
Box
Box provides secure, cloud-based content storage, management, and collaboration software. Box can be used for file storage, sharing, and editing.
