Replace Media in the Kaltura Video Portal

Replacing media allows you to update an existing video while maintaining its metadata, settings, and embed links. This process is useful when you need to update outdated content without affecting links or published locations. However, replacing media will remove it from any moderated channels and move it to the moderation tab unless you have manager permissions.

Prerequisites

You must be the owner or have the co-editor permission on the video you want to replace.

Step-by-Step Instructions

To replace a video in Kaltura, follow these steps:

  1. Access the Edit Media page for the video.

  2. Select the Replace Media tab. The Replace Media page will appear.

  3. Choose an upload method:

    • Upload from Desktop
      1. Select Upload from desktop.
      2. Choose the replacement file from your computer.
      3. Select Open.
    • Upload from URL
      • Enter the URL of the replacement media.
  4. Wait for the Upload Completed message to appear.

  5. Review the warning message:

    • All current flavors (video transcoding formats) will be replaced.
    • Any time-based metadata will not sync with the new content.
  6. Select Approve Replacement to proceed.

  7. A confirmation message will appear: Your media is being processed.

    • If needed, select Cancel Replacement to stop the process.
  8. Once completed, a success message will display: Your media was successfully replaced and unpublished from any moderated gallery/channel.

Troubleshooting

  • If the upload fails, verify that your video format and resolution are supported.
  • If the media disappears from a moderated channel, check with the channel manager for approval.
  • If you do not see the Replace Media tab, confirm that you have co-editor permissions.
