Due to a change in policy, Chico State Google Workspace users will no longer keep their accounts after fully separating from the university.
Why was there a policy change?
Google will no longer provide educational institutions with unlimited storage and now caps the Google Workspace for Education Fundamentals service at 120 Terabytes of data. This change in service takes effect in January 1st, 2023. The University must now manage the amount of storage to ensure that the campus does not exceed the 120 Terabyte limit.
What does this mean for students?
Student accounts will get deleted automatically after students are no longer actively enrolled in a current or future term for more than twelve months. This assumes that students have no other active affiliation with the university that would entitle them to retain this service.
What will this affect?
This will affect former students' access to the Google account associated with Chico State. This includes the Chico State email account, Google Drive account, Google Calendar, Google Docs/Sheets, etc.
What does this mean for employees?
Access will be removed after the last effective end date of employment. Retirees who opt-in to retain services will retain their accounts. This assumes that students have no other active affiliation with the university that would entitle them to retain this service.
When will this change take place?
This change in service will take effect on March 18, 2022.
What options do I have to save my data?
If my email account is deactivated, how do I log in to request transcripts?
Even though your email account will be deactivated, your username and password will remain the same, allowing users to log in to the Portal to request items such as transcripts.
How can I keep this account?
There is no option for retaining this account. You will need to make the necessary changes in any services where you have used this email. There is no forwarding option available after the account is removed.
