Joining Chico State’s ChatGPT Edu Workspace and Managing Your Existing Account

Chico State users with existing ChatGPT accounts will be invited to join the university's ChatGPT Edu workspace. This transition provides access to AI tools designed for educational and research purposes while ensuring privacy, security, and enterprise-grade protections.

When prompted to join, you can either transfer your existing chat history and custom GPTs to the new workspace or export your data before starting fresh. This guide explains what to expect and how to complete the transition.

Prerequisites

  • A ChatGPT account created with your Chico State email.
  • An invitation to join the Chico State ChatGPT Edu workspace (this will happen automatically over the coming months as the Division of IT provisions access for various campus groups).

Instructions

Joining Chico State's ChatGPT Edu Workspace

When you have been invited to join Chico State's ChatGPT Edu workspace, you will no longer be able to use the ChatGPT account in a personal capacity. OpenAI will require you to join Chico State's workspace. To join Chico State’s ChatGPT Edu workspace, follow these steps:

Accepting the invitation is a point of no return. Once you accept the invitation, your account will permanently join Chico State's ChatGPT Edu workspace.

  1. From your Chico State email, search for an email from noreply@tm.openai.com. When you're ready to join Chico State's workspace, click the Join workspace link in the email. If you cannot find your invitation email, you can proceed directly to chatgpt.com. You can see a preview of the email below:

  2. Log in to your existing ChatGPT account with your Chico State email. If you're already signed in, refresh the page.
    • If prompted with "How do you want to log in?", select the Chico SSO option.
    • You should be directed to the Chico State Shibboleth login page. Sign in and approve the login with Duo. 
  3. When you accept the invitation, you will see a "You've been added to a ChatGPT Enterprise workspace" prompt. Here you will have to choose either Transfer existing chat history and GPTs or Export and delete existing chat history. Once you have made a selection, your new ChatGPT Edu workspace will be set up. See below for more information on managing existing data.

Managing Existing Chat History and GPTs

Note: Whichever option you choose is permanent and CANNOT be undone. Carefully consider your options before picking.
 
If you choose to export and delete existing chat history, your custom GPTs, plugins, custom instructions, and other personal settings will be permanently deleted.

Transfer existing chat history and GPTs​​​​​​​

  • Recommended for users who primarily used this account for work.
  • Merges your chat history and custom GPTs into the new Chico State ChatGPT Edu workspace.
  • Your previous workspace will be permanently deleted.
  • GPTs, plugins, and custom instructions will be retained and transferred.
  • Confirm the transfer by selecting Confirm transfer on the pop-up.

Export and delete existing chat history

  • Recommended for users who primarily used this account for personal purposes.
  • Sends a downloadable copy of your chat history to your registered email.
  • Your previous workspace will be permanently deleted after export.
  • GPTs, plugins, and custom instructions will NOT be included in the export and will be permanently deleted.
  • Proceed by selecting Export and delete workspace on the pop-up.

Troubleshooting

  • I wasn’t prompted to join the ChatGPT Edu workspace: Invitations are being rolled out gradually. No action is required at this time.
  • My chat history didn’t transfer after selecting “Transfer existing chat history and GPTs”: Contact the technical implementation team for assistance.
  • I lost access to some ChatGPT Plus features: If you had a ChatGPT Plus or Pro subscription, OpenAI will prorate it during the transition. Once you join the Chico State ChatGPT Edu workspace, your access to ChatGPT will be managed under CSU's systemwide license.
