How do I log into Google Apps?

There are multiple ways to access your Chico State Google Apps:

Can Faculty or Staff members use this service?

Yes, Google Apps for Education is available to all current faculty, staff, and students.

Note that Google access will be lost when you leave the university. Faculty and staff lose this access upon their contractual end date. Students lose access within two years of graduation. For moving files out of your Chico State Google account, please follow the instructions on our Knowledge Base: Using Google Transfer and Google Takeout

How do I change my Google Apps password?

Your Chico State Google Account will use the same password as your Chico State Portal. These accounts are connected and you cannot change the password for the Google account without changing the password for all of your Chico State apps.

What if I already have a personal Google/Gmail account?

Your personal Gmail account and your Chico State account are separate accounts. You should not use your Chico State account for any personal data.

Which browsers can I use to access my Google Apps account?

For the best experience and full account syncing, it is recommended to use Google Chrome. Google Apps are supported on Google Chrome, Firefox, Safari, and Microsoft Edge. If you are having compatibility issues, make sure your browser is up to date. 

Sharing

How do I share my files?

There are a variety of sharing settings available via Google Apps. You can share files (or folders) with specific people using their Google Account, Anyone in your organization, or share with Anyone with the link. 

To access the sharing settings, locate the file(s) in Google Drive, select them, and click the "Share" icon. From here, you can decide how and to whom you would like to share.

How do I share documents with my personal Google account?

You can share files with anyone who has a Google account, including those outside the Chico State organization. This means you can seamlessly share files with your personal account. To do so, follow the instructions above about sharing files, and add the email address associated with your personal Google account. 

Note: You cannot transfer ownership of files outside of this organization. As a work around for individual files, you can share the files to a personal account, navigate to the "Shared with me" tab in Google Drive, and then make a copy of the files from the personal account. Alternatively for transferring all data, you can follow the instructions on our Knowledge Base: Using Google Transfer and Google Takeout

How much total storage space do I have in Google Apps?

The current storage capacity per account is 20 GB. This includes total storage across all apps. To see your current space used/available, you can navigate to Google Drive, and see the storage at the bottom of the left sidebar.

What if I want to use a Google program that is not offered through my Google Apps account?

Your account is part of a software suite called Google Apps for Education, which Google offers to educational institutions and non-profit organizations. Google decides which services to include in the Google Apps for Education software suite. Chico State cannot choose which apps to offer.

What are the policies that apply to my Google Apps account?

Your Chico State Google Apps for Education account is subject to Google's quota policy.

Your Google Apps account is subject to Google Workspace for Education Terms of Service (workspace.google.com) and Google Workspace For Education Privacy Notice (workspace.google.com)

All of your Chico State accounts, including your Google Apps for Education account, are subject to Chico State's Acceptable Use Policy and Privacy Policy.
