Accepting an Incomplete Agreement

When a grade of Incomplete is assigned, the student must accept an Incomplete Agreement, which outlines the arrangement between the instructor and the student. According to university policy, Incomplete grades must be resolved within one calendar year; otherwise, the grade will automatically change to either "IC" (Incomplete Charged) or the "Grade Without Further Work" specified in the agreement. Instructors may set a deadline earlier than one calendar year. If the student does not accept the agreement, the grade will default to "IC" instead of the "Grade Without Further Work."

Once grades are complete for a term, students are notified via the Message Center in their Student Center to accept their Incomplete Agreement. 

  1. Navigate to the Student Center. You can do this using the link in the Chico State Portal.
  2. In the left sidebar, scroll to To Dos, Holds, and Messages and click Message Center.
  3. Click Accept Incomplete Grade Agreement to open and read the message. Follow the included instructions before archiving the message. 
  4. In the left sidebar, scroll to Academic Progress and click Grades.
  5. Select the term that the incomplete was assigned for. 
  6. Click Review Agreement and review the terms and conditions of the agreement. 
  7. Select the check box at the bottom of the page to acknowledge the agreement, then click Yes to accept. 

The Acceptance date will appear on the agreement, which is viewable by both the instructor and the Office of the Registrar. Returning to the previous menu will now show Accepted

If a student accepts the Incomplete Agreement, the grade will be updated at the end of the grading cycle following the agreement's due date to the grade specified in the agreement. Instructors may submit a Change of Grade request before the deadline to update the grade sooner.

If the student does not accept the agreement and the specified deadline passes, the grade will automatically revert to "IC" at the end of the next grading cycle.
