Softdocs - Etrieve Central Frequently Asked Questions

Etrieve Central is a browser-based, mobile-friendly module within Softdocs used to create and manage digital forms and automated workflows. Users may fill out a form in the forms repository, submit that form, and then track their digital form as it moves through the workflow process.

1. How do I log onto Etrieve Central?

a. To log into Etrieve Central, please follow this link: Softdocs Login Page .

b. Enter your full Chico State email address, then click Continue.  Softdocs may re-direct you to the Chico State login screen where you will enter your Chico State domain password depending on what other applications you have already logged into.  After entering your password press the "Sign In" button.

Note:  You will be asked to authenticate through Duo if you have not yet Duo'd into another Chico State application.

2. Who has access to Etrieve Central?

a. Chico State EmployeesStudents, and Auxiliary Employees are provided access to Softdocs Etrieve Central.

3. How do I know if a form is waiting for me to complete?

a. Check your email.  If you are part of a form's workflow, you should have received an email indicating you have a form waiting.  You may need to check your Junk Email folder in Outlook.

b. If you are expecting a form but you have not received an email, log into Softdocs Central and check your Inbox.

1. Click on Inbox, and then select the form you would like to work on.  Your form will open on the right side of the screen

If no forms show within your Inbox, try refreshing the web page.  If still no forms show, then Softdocs does not have any forms currently assigned to you.  Reach out to the originator of the form or the department responsible for the form.  Additional information on using Etrieve Central may be found in the Central Page Layout section in the Etrieve Central User Guide - 2024.

4. Is there a way to attach additional documents to an existing form?

a. Yes, this is done within the Document Viewer only for forms that have this option enabled. Through selection the Attachments button, jpg, .tif, .pdf, .xps, .jpeg, .png, .tiff, .bmp, and .gif. files can be attached. Further information can be found in the Header and Navigation section in the Etrieve Central User Guide - 2024.

5. Can comments be added to returned documents?

a. Yes, by selecting the Return button in the Document Viewer window, users can return documents to the previous workflow step.

If a comment to clarify the reason of the return is required, users can select the History button in the Document Viewer window.

6. Can I download and print forms in Etrieve Central?

a. Yes, these features are included within the Document Viewer with corresponding icons. Additional information can be found in the Self Service section of the Etrieve Central User Guide - 2024.
