Working With Data On-Screen
After a report runs and results appear, you can filter or sort the information directly within Cognos. Hover over the top of any column to access sorting and filtering options.
Chico State recommends using the data within Cognos when possible. If you only need to review a few records, avoid downloading the data. Review the results on-screen, then make corrections directly in the appropriate system.
Exporting Data
Data Protection Reminder: Any time you download institutional data, you increase the risk of accidental exposure. Always consider whether you can complete your task using on-screen data before exporting.
If downloading data is necessary for further analysis, you may export the report. To export:
- Locate the blue arrow icon at the top of the report.
- Select the drop-down menu next to the arrow.
- Choose one of the available export formats:
- HTML: View the report in your web browser without downloading.
- PDF: Creates a printable, consistently formatted version for sharing.
- Excel: Exports the report into Excel for sorting, filtering, and analysis.
- Excel Data: Exports raw data tables without additional formatting. Only the first report tab is included.
- CSV: Saves the report data as a comma-separated values file for use in data tools or databases.
- XML: Exports the report in XML format. This option is typically used for system integrations and is not recommended for general use.
Download Locations
By default, files exported from Cognos are saved to your computer’s Downloads folder unless your browser settings specify a different location.
