About Encrypted Emails
Chico State’s Division of IT uses Microsoft Purview Message Encryption to protect emails that may contain confidential or sensitive information. If you received an encrypted message from a Chico State sender, it means the message was secured so only intended recipients can access its contents.
- It is normal to see a Read the message button.
- It is safe to proceed if you recognize and trust the Chico State sender.
- Works with Gmail, Yahoo, Outlook.com, and most other email providers.

Opening an Encrypted Email
Only open encrypted messages you are expecting and from senders you trust. If you are unsure, contact the sender directly using a verified method before proceeding.
Follow these steps to open a Chico State encrypted message on your computer:
- Open the encrypted email in your inbox.
- The subject line or body may indicate it is encrypted.
- You will see a button labeled Read the message.
- Click Read the message.
- A secure Microsoft viewer opens in your web browser.
- You’ll be prompted to choose a sign-in method:
- If you already have a Microsoft account, select Sign in with Microsoft.
- If you use Gmail, Yahoo, or another provider, select Sign in with a one-time passcode (recommended for most users).
- When prompted, select Send passcode.
- Check your inbox for a new email from Microsoft with the passcode (valid for 15 minutes).
- Enter the passcode on the verification screen and click Continue.
- Your encrypted message opens in a secure Microsoft viewer.
- Depending on the sender’s settings, you may be able to reply securely.
Verifying Your Identity
- Click Sign in with a one-time passcode.
- Check your inbox for an email from Microsoft containing the passcode.
- The passcode is sent to the same address that received the encrypted message.
- If it does not appear within a minute, check your junk or spam folder.
- Enter the passcode and click Continue.
- The encrypted message will open securely once verified.
