How to store Level 1 data in OneDrive

Overview

The Level 1 Data Storage Service at Chico State University provides a secure environment for storing confidential data governed by existing laws and statutes. This service ensures the protection of Personal Identifying Information (PII), electronic Personal Health Information (ePHI), and other sensitive data. This knowledge base article aims to guide users through the process of requesting and managing Level 1 Data storage in OneDrive.

The Level 1 Data Storage Service allows authorized users to store and manage confidential data within the OneDrive platform. It ensures compliance with relevant regulations and establishes robust controls for data protection.

Requesting Level 1 Data Storage

 To request Level 1 Data storage in OneDrive submit a TeamDynamix Ticket with the following details:

  • Folder Owner's Name: Provide the name of the individual responsible for the Level 1 Folder.
  • Use Case: Describe the purpose or intended use of the Level 1 Data.
  • List of Contributors: Specify the users who require "Contributor" access to the folder.
  • List of Viewers: Indicate the users who require "Viewer" access to the folder.

Access Management and Control

Users cannot update or manage permissions on a Level 1 OneDrive share.  For permissions to be changed, a ticket must be submitted to ITSS here: https://support.csuchico.edu/TDClient/1984/Portal/Requests/ServiceDet?ID=37574

Use the following template as the description of the ticket.

You will need to replace SHARENAME with the name of the share.

You will need to replace the X at the end to either C for contributor (can make changes) or V for Viewer (read-only)

List the users (if any) you would like to Add after "Add:"

List the users (if any) you would like to remove after "Remove:"

Annual Access Review

To maintain security and compliance, an annual access review is required:

  • The Folder Owner is responsible for renewing folder access annually.
  • The Folder Owner should review and verify the individuals who have access to the Level 1 Folder.
  • Any necessary changes to access permissions should be requested through a TeamDynamix Ticket.

Important Considerations

  • Data Sharing: Users cannot directly share files stored in the Level 1 OneDrive Document Library. Sharing requests must be submitted via a TeamDynamix Ticket.
  • Data Security: Storing documents in Level 1 OneDrive does not prevent users from downloading or sharing the data through other tools.
