Salesforce Roles and Record Visibility

Salesforce roles help identify groups of staff, students, and community members. Roles also determine when a person's record becomes visible in the Recruitment and Retention modules.

Student Roles and Module Access

Salesforce/TargetX uses two primary modules:

  • Recruitment Module: Manages prospective students through the application process.
  • Retention Module: Manages enrolled students throughout their academic journey.

Students are visible in different modules based on their stage in the student lifecycle:

  • Prospects and applicants are visible to users with Recruitment access.
  • Enrolled students become visible to users with Retention access.

Recruitment Role Student Stages

Student Stage Description Module
Prospect A person who has expressed interest in attending Chico State. Prospect records may originate from website forms, college fairs, or third-party sources such as College Board. Recruitment
Applicant A person who has submitted an application for a current or future term. Records remain in the Recruitment module unless another role is assigned. Recruitment

Retention Role Student Stages

Student Stage Description Module
Enrolled A student who has matriculated or is enrolled in zero or more units for a current or future term. Once a student reaches this stage, their record becomes visible in the Retention module. Recruitment, Retention

Additional Salesforce Roles

The following roles are used to manage access and organize contacts within Salesforce.

Role Title Description Module
Staff A contact with an active Salesforce license and a student/contact record. Retention
Course Instructor A contact listed as the instructor of record for a course. Retention
Counselor An external secondary education counselor. Recruitment
Academic Advisor Assigned manually based on approval from Academic Advising. Retention
Academic Advising Intern Assigned manually to student employee advisors. Retention
International Counselor An external international secondary education counselor. Recruitment
