Delegate Account Access via Outlook on the Web

What is Delegate Access?

Delegate access is used to provide another user access to open or act on behalf of another user or department account. It is most commonly used to allow a group of users to access a shared mailbox or resource (ex: ITSS Staff have delegated access to the department email account: itss@csuchico.edu).

All new shared accounts are set up as Delegated accounts. This includes email addresses or calendars for clubs, organizations, departments, etc.

Opening the Inbox

It is recommended that the shared account is accessed using the Outlook Web App. Once a user logs into their Chico State email, they can follow these steps to open the shared account:

  1. Click on your profile photo or initials in the top right corner of your Outlook Inbox
  2. Click "Open another mailbox..." and type the email address of the shared account you are a delegate for
  3. Once you select the mailbox it will open in a new tab as long as you have the correct delegate permission

  4. You can verify that you are viewing the correct account by looking at the URL. It should be https://outlook.office.com/mail/DEPARTMENT@csuchico.edu/ whereas your regular inbox will simply be https://outlook.office.com/mail/

If you are receiving errors or are unable to access the inbox, please verify that the manager has added you to the delegate group. If the issues persist, contact IT Support Services or put in a ticket here: https://support.csuchico.edu/TDClient/1984/Portal/Requests/ServiceDet?ID=8599

Bookmarking the Inbox

Instead of having to repeat this process each time you need to access the delegate account, you can add a bookmark to take you directly to the inbox. 

  1. Open the inbox or calendar you want to add
  2. Click the star in the address bar to save the URL
    • You will be able to change the name and location of the URL to organize it

If you cannot see your bookmarks bar, navigate into the browser settings and look for the "Always Show Bookmarks Bar" option. This may be slightly different depending on your browser. 

 While it is possible to open the additional mailbox in the Outlook desktop client, ITSS does not recommend this method. It can lead to poor Outlook App performance, a variety of folder issues, data security problems, and would have to be set up specifically for each person on each device.
