Introduction
Zoom Scheduler lets you create a booking page where students can choose an available time to meet with you. You define your availability and meeting length, and Scheduler uses your connected calendar to show times when you are actually free. It can be useful for office hours, advising appointments, individual student meetings, consultations, and other meetings that students schedule themselves. When a student books an appointment, the event is added to your calendar and the selected time is no longer offered to others.
Prerequisites
Before creating a booking page, you need:

Access to Zoom Scheduler through your Chico State Zoom account

A supported calendar connected to Zoom Scheduler

Your preferred availability and appointment duration
Zoom Scheduler is different from scheduling a regular Zoom meeting. Scheduler creates a booking page that allows other people to select from times you make available.
Create and Share a Zoom Scheduler Booking Page
There are several parts to setting up Zoom Scheduler for student appointments. First, access Scheduler and create a booking page. Then configure your appointment options and share the resulting booking link with students.
Access Zoom Scheduler from the Zoom Workplace App
To access Zoom Scheduler from the Zoom Workplace application, do the following:

Sign in to the Zoom Workplace application.

From the navigation bar, select More.

Select Scheduler.
The first time you open Scheduler, Zoom may prompt you to complete initial setup, including connecting your calendar.
Access Zoom Scheduler from the Web Portal
To access Zoom Scheduler from the Zoom web portal, do the following:

Sign in to the Zoom web portal with your Chico State account.

Open Zoom Products.
-
Select Scheduler.
The first time you open Scheduler, Zoom may prompt you to complete initial setup, including connecting your calendar.
Create a One-to-One Booking Page
To create a booking page that allows one student at a time to schedule an appointment with you, do the following:

Open Zoom Scheduler.

Select +.
-
Select Create a booking page.
-
Select One to One.
-
Enter a name that describes the purpose of the booking page, such as Student Office Hours, Advising Appointment, or Meet with Professor Smith.

Set the Duration for each appointment.

Choose the Location for the meeting. Select Zoom if you want Scheduler to automatically create a Zoom meeting for each appointment.

Set your Availability.
-
Review the remaining booking options, and then select Finish.
Zoom creates a unique booking link that students or other participants can use to schedule an appointment.
Share Your Booking Page
To share your booking page with students, do the following:

Open Scheduler.

Select Booking pages.
-
Find the booking page you want students to use.
-
Copy the booking page link.
-
Add the link to a location students can easily find, such as your Canvas course, syllabus, instructor information page, office-hours page, announcements, or email signature.
You can create multiple booking pages for different appointment types. For example, you might offer separate booking pages for 15-minute questions and 30-minute advising appointments.
Manage Your Availability
To update when students can schedule appointments, do the following:

Open Zoom Scheduler.

Open the booking page you want to manage.
-
Update your availability, booking options, or other settings as needed.

Save your changes.
You can also temporarily deactivate a booking page when you do not want to accept new appointments, such as during vacations, academic breaks, or other periods of limited availability. Deactivating the page preserves its settings while preventing new bookings.
Troubleshooting
If students see fewer appointment times than expected, review the events on your connected calendar. Zoom Scheduler does not offer times that conflict with existing calendar events, and a time is removed from availability after someone books it.
Keep your connected calendar current so Scheduler accurately reflects when you are available. If appointments are scheduled too closely together, adjust the booking page to add buffer time between appointments or change how far in advance students can book.
If you use Zoom as the meeting location, review your default Zoom Meetings settings. Meetings created through Scheduler use those settings, including preferences such as the Waiting Room.
