Project managers are required to post a status update for each active project every week. The goal is to keep TDX reliable so anyone looking at a project can quickly understand where things stand, what’s happening next, and whether anything needs attention.
Every week, open the project and click Update. On the Update Project Status screen:
1. Review Status
Confirm that the status is correct and change it if needed.
- If placing a project On Hold, enter an On Hold Until date.
2. Review Health
Select Green, Yellow, or Red based on the project’s current condition. Change it if needed using the definitions below:
| Health |
Definition |
| None |
Project health has not yet been assessed. Typically used before work begins. |
| Green |
Project is on track to meet agreed scope, schedule, and intended outcomes within available resources. Any issues are manageable within the project team. |
| Yellow |
Risks or issues threaten agreed scope, schedule, resources, or intended outcomes. Mitigation is underway, but recovery or resolution is not yet assured. Sponsor should be informed. |
| Red |
Significant issues are preventing - or are likely to prevent-the project from meeting agreed commitments. Sponsor escalation is required to secure decisions, support, or approval of a recovery plan. |
Important Note: If no updates are posted within 8 business days, the project health will automatically downgrade by one level.
3. Review Percent Complete
Confirm that the percentage reflects the work completed and update it if needed.
4. Add Comments
In Comments, select Templates>Weekly Project Status Update. Complete all four sections.
- Keep comments brief and useful. If nothing has changed, explain what the project is waiting on or what comes next.
- For Yellow or Red projects, explain the problem and its impact on scope, schedule, resources, or project goals. Describe the steps being taken to address it and any help or decisions needed.
- If placing a project On Hold, explain why and what needs to happen before work can resume.
5. Choose Who Receives the Update
Under Notification, select the project team, sponsor, and stakeholders who need the update.
- Under Notify Other People, select anyone else who needs it.
6. Save
Click Save to post the Update.
- Notifications will be sent to the people you selected.
Projects that are On Hold
Projects that are currently On Hold do not require weekly status updates. However, TDX does not automatically change the project status when the On Hold Until date passes. Project managers should regularly review the report of On Hold projects where the On Hold Until date has passed. For each project on that report:
- If work can resume, update the project to the appropriate status and post a current status update.
- If the project must stay On Hold, enter a new On Hold Until date and post an update explaining why the project remains on hold and what is needed to resume work.
A few things to remember
- Active projects need to be updated every week, even if Status, Health, or Percent Complete haven't changed. On Hold projects are the exception and don't require weekly updates while the On Hold Until date is still current.
- TDX automatically lowers project health by one level when a required status update hasn't been posted within eight business days. If that happens, you will receive a notification. If you receive this notification for a project you are managing, update that project as soon as possible.
- Keep updates short and meaningful. The purpose is reliable project information, not lengthy reporting.
