Overview
Shared Calendars and Conference Rooms at Chico State are set up to allow individuals or groups to manage and view room availability, schedule meetings, and coordinate resources. This guide provides an overview of how these calendars are structured and how access is granted.
Delegate Permissions
Room calendars and shared calendars are configured using security groups. Access is managed through group membership, not by adding individual users manually.
Understanding Permissions
A typical account setup will look something like this:
- Primary Calendar Account: ROOM123
- Delegate Groups:
- ROOM123-m: Manage permissions
- ROOM123-s: Send-as permissions
- ROOM123-v: View-only access
- ROOM123-a: Admin group (manages -m group)
These groups are mail-enabled and pre-configured by ITSS when the calendar is created. Delegates are granted access based on the groups they belong to.
Updating Permissions
Group memberships can be updated by the listed manager or anyone in the -a group using the Managing Groups in Active Directory article.
If you pull up the group you are trying to edit and the Add or Remove buttons are grayed out, you may not have access to manage the group.
If you are not the manager of a group and believe you should be, please contact IT Support Services. You can also put in a ticket to report an issue or problem with campus email.
Please note that to make changes, IT Support Services will need written permission (via ticket or email) from either the existing listed manager of the account or the head of your department to make changes to the manager.
Accessing a Shared Calendar
If you’ve been granted delegate access, you can add the calendar to Outlook. Follow the instructions for Accessing Delegate Accounts to add the shared account to your own profile.
To reserve a room, use the Scheduling Assistant or add the room email address (e.g., ROOM123@csuchico.edu) in the Invite Attendees field.
