The Zoom Scheduler in Canvas allows instructors to create bookable time slots for student meetings via Zoom. While this is an alternative to Canvas' built-in appointment scheduler, it has certain limitations—such as not displaying appointments on the Canvas calendar. However, students can still book, view, join, and cancel appointments from the Zoom integration. Both the instructor and student will receive email confirmations after a booking is made.

This article will guide you through enabling the Zoom integration, setting up an appointment schedule, and how students can book appointments.

Prerequisites

You must enable the Zoom integration with Canvas before setting up bookable appointments. To enable the Zoom integration within your course, do the following:

  1. From your Canvas course menu, select Settings.
  2. Select the Navigation tab.
  3. Select the three dots next to Zoom and select Enable.

  4. Scroll to the bottom of the page and select Save.

Step-by-Step Instructions

To create a schedule for student appointments via Zoom, follow these steps:

  1. From your Canvas course menu, select Zoom.
  2. Open the Appointments tab.
  3. Select My Schedules.
  4. Select + Create Schedule.
  5. Under New Bookable Schedule, set the days you are available to meet with students.
  6. Enter the time slots you are available on the selected days.
    • Ensure there is a defined start and end time. Slots cannot overlap.
  7. (Optional) To apply the same schedule across multiple days, enable Follow the same schedule each day.
  8. (Optional) To set an end date for the recurring schedule, enable End repeat on and select the ending date.
    • Note: Students will not be able to book appointments after this date.
  9. Enter the duration of each appointment slot.
  10. (Optional) Add a description for the appointment schedule.
  11. Click Save.

Now your appointment schedule is created, and students can begin booking appointments through the Zoom integration.

Troubleshooting

  • Appointments not showing on Canvas Calendar: As noted, Zoom appointments do not appear on the Canvas calendar. Students must check the Upcoming Meetings tab in Zoom for their appointments.
  • Time slot overlap error: Make sure that the time slots you enter do not overlap. Adjust the start and end times for each slot accordingly.
