What to do to Get Ready for the Box Migration

Bay and Box are different, and will work somewhat differently with regard to the organization of your data. You will be way ahead of the game if you reorganize and simplify your data now, instead of waiting until the data migration is upon you.

Here are the steps you and your department can do to prepare for the move from Bay to Box

  1. Request a scan of your department's Bay folder.
  2. Have everyone in your department request a scan of their Bay personal folder.
  3. Once the scans are complete, process your scan results.
  4. Delete any files and folders you do not need.
  5. Go though and reorganize the content in your department folder to prepare for the move. This may be minimal for smaller, simpler departments.
    1. Simplify access permissions as much as possible
  6. Identify all confidential Level 1 data and determine if you need to keep it and who should have access to it
    1. Level 1 data should ONLY be kept if you can identify a specific and current need to maintain such data
  7. Identify any non-conforming files that may be problematic in Box; fix where possible
  8. Use the template spreadsheet to map out which folders will go where and who will have access in Box.
    • You will need to do this if you have either level 1 data or other sensitive data that you don’t want everyone in your department to see (e.g., performance evaluations).
  9. Send the completed spreadsheet to me, and we will work together to schedule a date for the migration.

The single most important thing you can do is delete any and all files and folders that you no longer need!
