What to do to Get Ready for the Box Migration

Bay and Box are different, and will work somewhat differently with regard to the organization of your data. You will be way ahead of the game if you reorganize and simplify your data now, instead of waiting until the data migration is upon you.

Here are the steps you and your department can do to prepare for the move from Bay to Box

  1. Send an email to to set up an initial consultation. We'll go over the migration process with you.
  2. Delete any files and folders in Bay that you do not need.
  3. Go though and reorganize the content in your department folder to prepare for the move. This may be minimal for smaller, simpler departments.
    1. Simplify access permissions as much as possible
  4. Use the folder spreadsheet to map out which folders will go where and who will have access in Box.
    • You will need to do this if you have either level 1 data or other data that you don’t want everyone in your department to see (e.g., performance evaluations).
  5. Identify all confidential Level 1 data and determine if you need to keep it and who should have access to it

    2. Level 1 data should ONLY be kept if you can identify a specific and current need to maintain such data
  6. Send a list of users (faculty, staff, student employees) who work in your department (whether or not they use bay)
  7. Send a list of computers in your department so that we can push some productivity-enhancing Box software
    1. Faculty and staff office computers
    2. Shared computers
    3. Conference room computers
