Manually creating Level 1 folders and associated groups

Body

The purpose of this article is to outline the process for manually creating a Level 1 data folder and its associated groups.

  1. Make sure the Level 1 Folder Request document has been completed and signed by an appropriate administrator. There is a TDx ticket for requesting a Level 1 folder.   
  2. Login into Box with the box-admin account
  3. Create the appropriately named level 1 data folder within the top level "Level 1 Data" folder.
    1. This will insure that the folder inherits:
      1. Only folder owners and co-owners can send collaborator invites
      2. Restrict collaboration within Chico State
      3. Only collaborators can access this folder via shared links
  4. Create a new group
    1. All group names should be "Level 1 - FolderName" where "FolderName" is the name of the folder you just created
    2. Add the requested users to the group.
    3. No one should be "group admin".    Only Box Admins can add/remove users from Level 1 groups; a ticket is required.  
    4. Don't try to add folders at this step (too hard to search for the right folder)
  5. Go back to the folder and Invite Collaborators
    1. Enter the name of the group
    2. Set Invitee permissions "Editor" or requested permission level.  
  6. Access to Level 1 folders should be by group only.
