Change Impact

How will you measure the impact of this project?
What are some metrics or KPIs that will be used to measure success? Think about the five metrics to measure: quality, quantity, timeliness, cost, and customer satisfaction.
The reduction in the amount of manual intervention to ensure purchases of University Housing parking spaces are purchased by University Housing students. A reduction in the amount of time SFIN staff spend issuing parking permits. Once this application is up and running, faculty, staff, and students can purchase permits online.
What are the consequences of not doing this project?
For example: direct significant negative consequences to the University, unable to conduct basic services; failure to resolve customer complaints or requests; loss of opportunity for improved service delivery or efficiency. Please explain.
If nothing is done, SFIN will continue supporting two separate systems. Furthermore, the SFIN team will continue to spend an inordinate amount of time auditing the existing system to ensure users purchase only the permits they are qualified to purchase.

What would a successful solution look like?
What outcome will you have at the conclusion of this project? If this proposal is one of a multi-phase project, please explain your plans, goals, and timelines for subsequent phases.
A successful solution would include the configuration of PMB to handle all online purchases of parking permits for students, faculty, and staff and decommissioning the old system used to manage parking permit purchases. The initial pilot will focus on Students in University Housing and then roll out to students, faculty, and staff in fall 2023/

Description

Currently, Student Financial Services uses two different vendors to handle parking passes on campus. PMB is used to manage citations, and another vendor is used to facilitate the purchase of parking passes for students, faculty, and staff on campus. The Student Financial Services team would like to consolidate parking pass management into one system, PMB. PMB will allow SFIN to designate eligibility to purchase specific parking permits, easing the oversight burden to ensure users purchase only the passes they're eligible to buy.

Campuses can upload user lists via SFTP. Users would authenticate using their Chico State Credentials and be presented with options to purchase parking permits that they qualify for. The portal would also provide mechanisms for permit users to update their information when they have a vehicle change or want to change their permit type.

As a starting point, SFIN would like to pilot the new integration targeting University Housing students with plans to expand permit purchases and edits to other students, faculty, and staff in the fall of 2023.
