CSU GradePass moves final grades from a Canvas course into the official grade roster in PeopleSoft. Before grades can be staged, GradePass validates course settings and student grades, reducing manual data entry and helping instructors identify grading mistakes before submission. Instructors review validation findings, confirm the grades that will be transferred, stage the grades, and then approve the official roster in Faculty Center.
Prerequisites
Before using GradePass:
- Finish entering grades in the Canvas gradebook.
- Confirm that the course grading scheme converts numerical scores into the correct final letter grades.
- Review assignments that contain blank or missing grades.
- Confirm that GradePass appears in the Canvas course navigation.
- Confirm that you can access the course grade roster in Faculty Center.
Submit Final Grades
To transfer final grades from Canvas to PeopleSoft, do the following:
Open GradePass and Run Validations
- Open the course in Canvas.
- From the course navigation, select GradePass.
- The first time you open GradePass, select Authorize when Canvas requests access.
- Wait for GradePass to finish checking the course.
GradePass compares the Canvas roster with the PeopleSoft roster. It also checks the course settings, student grades, and assignment submissions.
When the review is complete, GradePass opens the first section that requires attention.
Correct Course Errors
Course validations identify settings that could cause an incorrect final grade to be transferred.
A red validation is a blocking error. You cannot stage grades until every red validation is resolved.
- Review each message under Course Validations.
- Select More Information when you need an explanation of the validation.
- Select Configure in Canvas to open the setting that must be corrected.
- Make the required change in Canvas.
- Save the change.
- Return to GradePass.
GradePass checks the course again after you return. When every course error has been resolved, it advances to the enrollment validations.
For example, GradePass may report that the course does not have a grading scheme. Without a grading scheme, Canvas cannot reliably convert a percentage, such as 87%, into the final grade that will be sent to PeopleSoft.
Review Student Warnings
Enrollment validations identify individual students whose grades may need attention.
An orange validation is a warning. A warning does not prevent you from staging grades, but you should review it before continuing.
- Review each warning under Enrollment Validations.
- Select View Details to see which students and assignments are affected.
- Decide whether the warning should be corrected or dismissed.
Correct a Student’s Grade in Canvas
Use this option when the student needs a grade entered or changed for a specific assignment.
- From the student’s Actions column, select Enter Grade Manually.
- In SpeedGrader, enter the appropriate grade for the student.
- Save the grade.
- Return to GradePass.
GradePass rechecks the student after the grade is saved.
Apply a GradePass Fix
Use this option when GradePass offers an automatic correction, such as entering a default grade for an unsubmitted assignment.
- Select Apply Fix for the affected student or validation.
- Review the proposed grade and settings.
- Confirm that the proposed grade is appropriate.
- Select Apply Fix.
GradePass applies the change and revalidates the affected grades. You may continue reviewing other findings while the validation runs.
When the same correction applies to multiple students, select the fix from the main validations page and choose the option to apply it to all affected students.
Dismiss an Intentional Warning
Dismiss a warning only when the current gradebook entry is intentional and should not be changed. For example, an instructor may intentionally leave an assignment ungraded. To dismiss a warning:
- Open the warning details.
- Select Dismiss This Validation.
- Review the override confirmation.
- Select Override and Proceed.
The dismissed warning remains visible with a strikethrough. This provides a record that the warning was reviewed intentionally.
After every blocking error has been corrected and every warning has been corrected or dismissed, GradePass advances to the final grade review.
Review Final Course Grades
The review page shows the grade that GradePass will stage for each student.
- Review every student listed under Review Grades.
- Compare each displayed grade with the final grade you intend to submit.
- Review the Status column and confirm that each student is ready.
- Correct any unexpected grade before continuing.
Do not proceed until the table accurately represents the grades you intend to submit.
Enter a Final Grade Override
A pencil icon appears next to a grade when an override is permitted.
- Select the pencil icon next to the student’s grade.
- Select the correct grade from the available grading symbols. GradePass only displays grading symbols that PeopleSoft accepts for the course section.
- Complete any additional fields required for the selected grade.
- Save the override.
- Confirm that the updated grade appears in the review table. When assigning an incomplete, select I. GradePass displays an incomplete deadline based on campus policy. Review the deadline and change it when a different permitted deadline is appropriate.
- After reviewing all grades, select Next.
Stage the Grades
The staging page shows which grades will be transferred to PeopleSoft.
- Review the table of grades that will be staged.
- When a skipped-grades table appears, review every student listed in it.
- Confirm that each skipped student is expected.
Do not stage the grades when a student appears in the skipped list unexpectedly. Return to the previous steps and resolve the student’s validation or grade status first.
- Select Stage Grades.
- Review the final confirmation.
- Confirm the staging action.
- Keep the GradePass browser tab open while the grades are being transferred.
- Wait for the success message.
A successful result reports how many grades were staged. Staging places the grades in PeopleSoft, but it does not approve the official grade roster.
Approve the Grade Roster
- From the GradePass success message, open the link to PeopleSoft.
- In Faculty Center, open the course grade roster.
- Review every staged grade one final time.
- Confirm that the PeopleSoft roster matches the grades you approved in GradePass.
- Change the roster status to Approved.
- Save the grade roster.
The final grades are now staged in PeopleSoft and the course grade roster is approved.
Troubleshooting
GradePass Is Missing from the Course Navigation
Open the Canvas course navigation settings and enable CSU GradePass. Return to the course and select the tool from the course navigation.
A Red Validation Does Not Clear
Confirm that the requested change was saved in Canvas. Return to GradePass and allow it to validate the course again.
A Student Still Has a Missing-Grade Warning
Open View Details and confirm that a grade was entered for the correct student and assignment. When the blank grade is intentional, dismiss the validation instead of applying an incorrect grade.
A Student Appears in the Skipped List
Do not stage the grades until you understand why the student is being skipped. Return to the enrollment validations or final grade review and resolve the student’s status.
The Staging Process Does Not Finish
Keep the GradePass tab open. When GradePass does not display a success or error result, contact Learning Technology Services before attempting to submit the roster again.
