Zoom Logistics

Where can I find Zoom?

If you are on a university-owned computer, Zoom should be installed already. If you are on a personal computer, please go to Zoom's Download Center. Mobile devices can install Zoom from their app store. 

What platforms are supported by Zoom?

Zoom works on PC, Mac, Android, and iOS devices. Zoom also offers direct integrations with Blackboard and Outlook.

How many people can attend a Zoom meeting?

Chico State Zoom licenses support meetings of up to 300 participants. You can have up to 50 participants in a breakout room. If you need larger meetings, please open a support ticket

Creating Meetings 

What’s the difference between a Zoom meeting created through Blackboard Learn and a Zoom meeting created from the Zoom Portal or Client?

  • Creating a Zoom meeting link through Blackboard Learn integration provides an easy, centralized way for instructors and students to access a Zoom meeting.
  • The instructor is the host of the meeting; students are participants. TA’s are alternate hosts
  • Meeting only valid for a single course, for one semester.

How do I access or change my Zoom meeting settings?

There are two areas for settings:

  • Settings that are available on the Zoom Portal include: 

    • Your Profile 
    • In-Meeting Settings (Basic and Advanced) 
    • Recording Settings 
    • Reports
  • Settings that are available on the Zoom Desktop App include:

    • Your video, audio, and monitor setup
    • Your local recording folders
    • The Zoom desktop application chat function 

To access the Zoom Portal Settings

  • From your browser, navigate to the Zoom Portal

  • Sign in using your username and password. 

  • Select Settings

To access the Zoom Desktop Application Settings

  1. From your computer taskbar, start/open the Zoom application. 

  2. From the upper-right corner, select Settings. (shown as a gear icon)

From the left navigation area, choose the setting you want to view or edit. You can also select View More Settings to launch the Zoom portal settings

Starting and Joining Zoom Meetings 

How do I sign in?

You will frequently see this Zoom sign-in window. This sign-in window is associated with your Zoom desktop or mobile application. When signing in, ALWAYS select the SSO (Single Sign-On) option. This ensures you are logged in to your Chico State Zoom account which has unlimited meeting time, cloud recording, pre-assigned breakouts, and other benefits.

  1. Select Sign in with SSO.

  1. From the Sign In with SSO window, enter csuchico as shown below.

  1. Select Continue

  2. Enter your username and password when prompted. This displays the Zoom desktop application options.

As of Feb 2021, users may inadvertently bypass Zoom’s “require SSO authentication” setting. Please see the following support article for help signing into your Chico State Zoom account with SSO

How do I turn off email notifications when participants join my Zoom meeting early?

Go to https://csuchico.zoom.us/profile/setting and enable Email notifications. Note that it is impossible to enable notifications on a per-meeting basis at the moment. 

Video

What's the difference between gallery view and speaker view?

The active speaker view (left) is the default layout. This means that the person currently speaking is displayed in the large window and will change between speakers.  

Gallery view (right) allows you to see up to 50 people’s pictures/videos at once and highlights whoever is currently talking.

How Can I Spotlight Certain Speakers?

  • Spotlight video puts a user as the primary active speaker for all participants in the meeting and cloud recordings.  Note: this does not impact local recordings. 

  • To spotlight, you need at least 3 participants in the meeting with their video on and this can only be done by the host.

Note: Pin screen allows you to disable active speaker view and only view a specific speaker. Pinning another user's video will only affect your local view in the Zoom Room, not the view of other participants, and will not affect cloud recordings.

How do I set my virtual background?

Choose the ^ (up arrow) to the right of the Video icon in the bottom taskbar. A menu should pop up. Click on “Choose Virtual Background”

Download Large 1024 (1024 × 576) to fit the Zoom background.

Why does my virtual background not show up correctly?

Your background and foreground do not have sufficient contrast or your computer is not powerful enough to remove the background. Try changing your lighting or getting a green screen.

Why don’t I see my Zoom Profile Picture?

Audio & Sound

How can participants join a Zoom meeting using their phones?

Participants may want to dial into a Zoom meeting using a phone if their computer does not have a microphone or speakers or if they experience an unstable Internet connection. Every Zoom meeting has an associated phone number(s). The host of the Zoom meeting can locate the phone number from the invite function for that meeting. 

  • The Invite option is available where you created the meeting.

  • Participants >  Invite function within a  Zoom meeting.

How do I turn on/off a Chime when people enter my Zoom meeting?

Navigate to the Zoom Portal. Select Settings and then select In-Meeting Basic. 

Scroll down to locate "Play sound when participants join or leave".

Within a meeting: You can enable the enter/exit chime while you're in your meeting by clicking on Participants, then selecting More, then Play Enter / Exit chime.

How can I mute participants?

To mute a specific participant, open to Participants menu, then hover over their icon. This will give you options to Mute, Unmute, and Ask to Unmute.

To mute all participants, open the Participants menu and select Mute All.

Screen Sharing 

How do I move my Zoom taskbar when sharing my screen?

While screen sharing from a Mac or Windows device, Zoom automatically moves the taskbar to the top of your screen. Click the arrow next to the meeting ID to move the taskbar to the bottom.

Why can’t I see my video panel when sharing my screen?

While screen sharing Zoom tries to optimize the screen real estate and moves the other participant videos to an adjustable video panel on the right side of the screen.

The Participant Video Panel should show by default, but if you do not see it:

  1. Click More in the meeting controls.

My screenshare isn't sharing sound, what do I do?

  1. Click More on the screen sharing panel.

  2. Click Share computer sound

I am trying to share a video. I can hear the sound but participants only see a black box. 

You may need to disable hardware acceleration for the browser.

How can my students share their screens?

You can change this setting on-the-fly during the meeting by selecting Security > Allow Participants to Share Screen. 

How can I share my Zoom windows when I am in Zoom?

  1. From your Zoom meeting, locate the Zoom taskbar and select the up arrow next to your video.

  2. Select Video Settings

  1. From the Settings window select Screenshare then Advanced.

Why can’t I see the chat when I share the screen?

While screen sharing Zoom tries to optimize the screen real estate and condenses the chat and other functions under the More button on the Zoom taskbar. To see the Chat while screen sharing, select More, then select Chat.

Breakout Rooms

What are breakout rooms and how do they work?

Breakout rooms allow you to split your Zoom meeting in up to 50 separate sessions. The meeting host or co-host can choose to split the participants of the meeting into these separate sessions automatically or manually, or they can allow participants to select and enter breakout sessions as they please. The host or co-host can switch between sessions at any time.

How to pre-assign breakout rooms?

  1. Sign in to the Zoom Portal

  2. Go to the meetings tab on the sidebar. 

  3. Find your meeting in either upcoming meetings or in previous meetings and open it. 

  4. Scroll down and click Edit this meeting

  5. Check the pre-assign breakout rooms check box. If this isn’t available, go to https://csuchico.zoom.us/profile/setting and enable breakout room pre-assign under In Meeting (Advanced).

  6. Create rooms and add students’ Chico State email addresses.

  7. Instruct your students to go to https://csuchico.zoom.us/profile BEFORE joining the meeting for the first time. 

Recordings 

Where can I find a Zoom recording that was saved to the local machine?

Go to https://csuchico.zoom.us/recording/local

You can also start the Zoom desktop application and select Settings > Recordings to open the folder directly. 

How will I know when the Zoom recording is done being processed?

You’ll receive an email in your Chico State email.

How do I post the recorded Zoom meeting in Blackboard Learn?

Cloud Recordings: 

  1. Wait for your cloud recording to process.

  2. Go to Blackboard and enter the course you want to post the recording in.

  3. Go to the content area you want to post the recording in.

  4. Click Build Content then click Kaltura Media.

  5. Find your meeting recording and click Embed.

  6. Name the video and press Submit.

Local Recordings:

  1. Go to Blackboard and enter the course you want to post the recording in.

  2. Go to the content area you want to post the recording in.

  3. Click Build Content then click Kaltura Media.

  4. Click Add New, then click Media Upload.

  5. Upload the zoom_0 video file from your computer. If you can’t find the recording, go to https://csuchico.zoom.us/recording/local.

  6. Name the video something descriptive. This is the name that will appear in your My Media.

  7. Click Save and Embed.

  8. Name the video in Blackboard. This is the name that will show up in your course.

Security 

Zoom enables meeting hosts to configure security settings in the following ways:

  • The default for all meetings via the Chico State Zoom Portal

  • Specific to a meeting at the time you create the meeting 

  • On the fly during the meeting using the Security button (allow participants to screen share, chat, etc.; you can even lock the meeting down entirely if you experience what is now commonly known as a Zoom bombing)
